When necessary, group leaders may transfer a member, along with their progress, from one group to another.
(This feature is not automatically turned on for all groups but may be enabled upon request. Contact our support team to have it turned on for your group.)
What data is transferred when a member is moved to a new group?
- Completed and partially completed Certificates
- Reactions to stories (if the same story exists in the new group)
- Completed and partially completed Grows and Modules
- Stories (pending review, published, returned)
- Growth Plans / Transition Plans
- Notes
(Note: Assigned journeys from the previous group will need to be reassigned in the new group, as these are not automatically transferred.)
How to transfer a member from an active group:
-
Access the Champion Dashboard.
-
Go to the Users tab and search for the member you want to transfer. You can search by name, reference ID, or system ID.
- Make sure you are searching in the correct group by using the group filter at the top of the page.
- Once you find the member, click the three dots on the right side of their row and select Edit.
- In the member's profile panel, click the Groups tab to see all the groups they belong to.
- Find the group you want to transfer the member from and click the Transfer button next to it. This will open a transfer panel.
-
In the transfer panel, the Transfer Member From field will already be pre-filled with the source group. Use the Select Target Group dropdown to choose the group you are moving the member to.
- The dropdown will only show groups that share the same library as the source group.
- (Note: If the Transfer button is not visible, the feature may not be enabled for your group yet. Contact our support team to have it turned on.)
- Once both groups are selected, a caution message will appear reminding you that the member will be removed from the source group and their progress will move to the target group. Review the message and click Transfer Member's Group Progress to complete the transfer.
- A success message will appear confirming that the transfer was completed.
- If the transfer cannot be completed, an error message will appear. One common reason is that the member is already archived in the target group and has existing data there. If you need to proceed, click the support link in the error message and our team will process it for you.
How to transfer a member from an archived group to an active group:
Important things to know before you begin:
- When a member is archived in a group, their profile is hidden but their progress and earned credits are preserved. These are restored once the member is unarchived.
- To transfer progress from an archived group, you must unarchive the member first before initiating the transfer.
- Do not manually add the member to the target group. Doing so will not carry over their existing progress from the old group.
Follow these steps:
- Open the Champion Dashboard and go to the Users tab.
-
Use the Status dropdown to filter by Archived so you can see archived members. Search for the member by name, reference ID, or user ID.
- If the same member appears in multiple groups, choose the profile or group that has the most progress — look for the one with the most completed certificates and published stories.
- Once you've identified the right profile, click the three dots on the right side of their row and select Edit.
-
In the member's profile panel, click the Groups tab. Find the archived group and click the Unarchive button next to it. The member will be restored as active in that group.
- For more details on archiving and unarchiving, refer to this article: How do I archive/unarchive members in a group?
- Once the member is unarchived, click the Transfer button next to that group to open the transfer panel.
- The Transfer Member From field will be pre-filled with the group you just unarchived the member from. Use the Select Target Group dropdown to choose the group you are moving the member to.
- Review the caution message and click Transfer Member's Group Progress to complete the transfer.
